  外貿郵件應該怎麼寫才能夠吸引到客戶的注意和回覆呢?下面是小編為你整理的,希望對你有用!

  格式

  一、使用統一的信紙郵件背景,好有公司的商標,主要產品的圖片類別等等。外貿管理軟體中可以自動設定、修改,再進行使用。

  二、格式正確,統一,郵件主題合理,拼寫無誤。所有發給客戶的郵件應該採用統一的格式。外貿管理軟體可以幫助設定相應的格式與主題。

  1郵件主題最好有公司名字等,比如公司名字是EXPORT,行業是PLASTIC,這封郵件的內容是給一款產品報價,那麼主題可以寫Export Plastic/quotation of item A. 這樣有一個好處,可以方便客戶以及你自己以後查詢給客戶的資訊,對於來往郵件很多的客戶,開始的時候我往往要花很多時間去查詢以前的報價以及其它資料,但是現在通過主題就很方便知道郵件大概內容是什麼,節省很多時間。

  2郵件正文兩端對齊:對於段落很多的郵件,正文兩端對齊會顯得很整潔。

  3第一封郵件最好寫上Mr.或者Ms.某某,職位寫SALES MANAGER等,不管你是不是經理,寫上沒關係,你職位高客戶會覺得把他當回事,有好處。

  4落款有公司標識以及詳細聯絡資料

  三、版面整潔,在OE裡面將撰寫郵件的字型,字號10-12號比較好都設定好,不要一會大字一會小字;也不要花花綠綠的,特別是不要全篇都是大寫字母,會增加閱讀的難度,讓人反感。除非是對一些需要特別提醒客戶注意的地方,可以用大寫,加粗,特殊顏色等突出顯示。

  四、拼寫無誤,在每封郵件發出之前都應該利用拼寫檢查工具檢查是否全部拼寫無誤。

  五、表述準確,能夠準確表達我方的觀點,不要使客戶產生任何的歧義,儘量避免有歧義的單詞或者短語,儘量避免使用俚語等。

  六、詳細,能夠提供給客戶非常詳細的資料,回答他的問題,並將他沒有問到的問題提出來。有時候你提出的問題會讓客戶覺得你很細心,很可靠而且非常專業。當然,詳細並不是說一股腦的將所有東西都托盤而出,應該學會在適當的時候談適當的事情。

  七、有條理,能夠讓客戶清楚地明白郵件內容,談完一件事再談另外一件,混在一起會讓人頭暈。很多時候,用1,2,3,4等標出來你要說的東西會非常有用,客戶很清楚就知道你要說或者問什麼。

  八、方式多樣,比如配合作圖說明,照片說明等,往往很多事情用語言很難說清楚,但是如果給一張圖紙,或者一幅

  照片,那就一目瞭然了。比如你說你如何玉樹臨風,說再多什麼用,來張PP不就明白了?

  九、及時,做到當天郵件當天答覆,在收到郵件後應該馬上整理出自己不能解決的技術問題,及時提供給技術部門或者供應商,要求他們在什麼時候給予詳細答覆。養成一個好習慣,在早上收到郵件後,整理出哪些需要詢問技術人員或者供應商的,將問題給他們後,再來回復能夠回覆的郵件。如果不能當天答覆,給客戶一個說明,為什麼答覆不了,並承諾一個明確的時間。

  十、適時跟蹤,一般客戶都是同時詢問很多的供應商,所以要適時提醒他你把他放在心裡,並讓他知道你在等待。比如公司有了什麼技術改進或者新的產品開發,可以傳送給很多客戶,或許機會就在那裡。外貿管理軟體會隔一階段以系統通知的方式提醒業務員,某個客戶有多久沒有跟蹤聯絡了。

  十一、學會維護和客戶的關係,這個是最難的一點,同時也是最重要的,需要自己體會。坦誠對人,不要欺騙,基本的一點。適當的恭維也很有用。
