商務書面交流中的深刻印象

　　良好的第一影響

　　試著用"salutation"製造一個好印象或是作為一封信的開始。並確定收信人的名字和稱呼是正確的。例如Dear Ms. Jones。使用 Dear Sir or Madam如果你不知道他們的姓名的話。

　　表明你的目的

　　你應該在信的第一段闡明寫信的原由，例如：As per our phone conversation, I am writing to provide the information you requested.

　　寫信的原因

　　寫商務信件的原因有很多種，例如"inquiry"詢問資訊，"request"請求某人做某事， "apology" 道歉，"complaint"投訴一個問題。這就決定了信件的形式和語氣。

　　申請信

　　如果您在寫一封請求信，你就可以寫Could you possibly...或是I would be grateful if you could...

　　轉達壞資訊

　　如果你是寫一些壞訊息或是道歉，那你就應該寫的禮貌而得體，並說明問題的原因。例如：Unfortunately we are not hiring any new staff at the moment. 或是I am afraid that we will be unable to meet your order on time due to problems with our supplier。

　　信件收尾

　　在最後一段中，你可以把一些closing remarks 寫進去，就象Please contact us if you have any further questions。如果你的信中還包括了檔案等，你可以在信尾處寫上Please find enclosed1...或是I am enclosing2...

　　提到今後的聯絡時間

　　信尾處你還應該提到今後聯絡的時間，例如：I look forward to seeing you next Thursday.

　　結束信件

　　如何寫close或你信件的結尾要看你和收信人的關係如何。Yours faithfully比Yours sincerely更正式，而best regards用於好朋友或是熟悉的人之間。

　　簽名

　　在結束語後簽上你的signature***手籤的名字***，然後在下面加上你的名字和你的職位。

　　檢查錯誤

　　你該總在你發信前仔細的proofread你寫的信，看看有沒有語法，拼寫，或發音的錯誤。最後檢查一下你的信是否清晰，簡短，正確，謙恭，有說服力及完整。
